files. Critical "account folders" containing all documentation and
correspondence are now available directly at the specialist workstation rather
than the "file room." Internally generated reports and documents along with
court mandated EDI transactions are also merged into their document record
database.

By merging the physical resumes and job applications with a Virginia Employment

our facilities, and the keys (or indices) are built automatically from the
names on the scanned resumes.

A records management project of this scope addresses a host of issues and
concerns. Paper files of this magnitude naturally dictated off site storage,
and in that environment, retrieval and re-filing become difficult at the very
least. By careful document prep, document count, and scan of case folders in
our service bureau facilities, we are able to maintain a high assurance and
integrity level. After moving these files to their internal LAN/WAN server,

Confidential student records have become increasingly difficult to store and

By custom designing a document imaging system that ties back to county student
profiles, we were able to scan critical student record folders and forms (on
site) for students for the most recent five years. Now these documents can be
securely retrieved and faxed/copied when appropriate. New graduates will have
their folders bar coded for automated indexing and subsequent archiving.

personnel indexed names, graduation data and social security identifiers for
each student record. These indexed images in turn are associated with a
networked printing and payment database for releasing hard copy requests for
